Searching the Title Plant
Find recorded documents in Platted's integrated title plant. This is the primary way to add exam documents to your orders.
The window header shows Plant current through, followed by a date: the plant holds documents recorded up to that date, and anything filed since has to be checked with the county directly.
Accessing Plant Search
From an Order Detail page:
- Go to the Documents tab
- Click the Search Plant button
- The Search Title Plant window opens
The Search Plant button is absent when the order has no county.
Search Filters
The form has three panels. Fill in any of them; you can combine them.
Instrument
- Inst # or Volume and Page - one or the other. Typing an instrument number disables the volume and page boxes, and typing a volume or page disables the instrument number box.
- Date From and Date To - narrow to a filing-date range.
- Category, then Type - choosing a category narrows the Type list to that category, and the Type label is marked (filtered) while it does.
Party
One name box - a last name or an entity name - with a role beside it: Either, Grantor or Grantee. The Match selector offers Contains (the default), Exact, or Fuzzy for sounds-alike spellings. It stays disabled until you type a name.
Legal Description
Two cards, and using one disables the other:
- Platted (Subdivision) - Subdivision, Block, Lot.
- Metes & Bounds (Abstract) - Abstract, Survey, Acres Min, Acres Max.
At least one filter is required. Clicking Search with every field empty shows Please enter at least one search filter. Clear empties all three panels.
Quick Search
The Quick Search button sits beside History and offers entries built from the order itself, under the label Search using order data:
- the order's legal description - its subdivision, block and lot, or its abstract and survey; and
- one entry per seller and per buyer, shown as Name (Seller) and Name (Buyer) and searched as a party name with Contains.
Choosing an entry fills the form and runs the search immediately, so you can adjust the filters and search again from there. The button does not appear when the order has no legal description and no named parties.
Search Results
Results are listed in these columns: Instrument #, Type, Vol/Page, Filing Date, Grantor(s), Grantee(s), Legal Description.
- Instrument #, Type and Filing Date are sortable. Results arrive newest filing date first.
- Results page 50 at a time, with Previous and Next below the table.
- A search that reaches 500+ shows Results limited. Add filters to narrow search. - add a filter rather than paging through it.
- A document already on the order carries an On Order badge and its checkbox is disabled, so it cannot be selected again.
Previewing Documents
A single click on a row selects it. To look at a document, double-click the row or click the eye button at the end of it. The Document Preview drawer opens beside the results and shows:
- The document images
- A collapsible Index Data block
- A Select Document button, which adds the document to your selection and then reads Selected
Esc closes the preview drawer first; only a second Esc closes the search window.
Search History
The History button lists every plant search run on this order - who ran it, when, how many results it returned, how many of those were already on the order, and how many were added. The list can be filtered by user and printed.
Expanding an entry gives two actions:
- Re-run Search - runs the same filters again.
- Search for New - runs the same filters limited to documents recorded since that search. It is unavailable for a search that ran today.
Search Tips
- Start with Quick Search to pull the order's own legal description and party names into the form.
- Use Date From and Date To to cut a broad legal-description search down to the period you care about.
- If you see 500+, add a filter instead of paging through the results.
- Preview a document before adding it when its index legal description is ambiguous.
